Preparing for the GDPR (General Data Protection Regulation)
The General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679) is a regulation by which the European Parliament, the Council of the European Union and the European Commission intend to strengthen and unify data protection for all individuals within the European Union (EU). It also addresses the export of personal data outside the EU. The GDPR aims primarily to give control back to citizens and residents over their personal data and to simplify the regulatory environment for international business by unifying the regulation within the EU. The GDPR will enter into force in all European Union countries on May 25th, 2018.

GDPR and Toastmasters International
Our District core team has been in touch with Toatmasters International world headquarters Legal department. They have informed us that they are aware of the upcoming changes and that their team is working on proper procedures and policies which will be communicated with the clubs and districts in the near future. Toastmasters International will make sure their system fully supports GDPR by May 25th, 2018.
GDPR and easy-Speak
Many of our clubs use easy-Speak to manage the meetings and store data about the members and guests. easy-Speak is being updated to fully support the GDPR by May 25th, 2018,, and allows each club to correctly manage data about members and guests.
Whilst we await further details, please see the document, Preparing for the General Data Protection Regulation. The document outlines 12 steps to consider, please could you ensure that ALL club Presidents and VPE’s have reviewed all the steps, with particular attention to the following:
- Information you hold
- Communicating privacy information
- Individuals’ rights
- Subject access requests
- Data Breaches
- Data Protection Officers
If your club is collecting information about its guests and/or members make sure that the privacy notice supports the GPRD – see Examples of privacy notice.

Greetings from a very stormy SafeHaven HQ, where some of us are about to slip into chocolate comas. We’ve been busy little bunnies since our last newsletter; things are definitely hotting up, despite the woefully wintry weather conditions that have battered us recently and are closing in again today. I’m very egg-cited to share our latest newsletter, bursting with Breaking News, the Usual Suspects and the Gentle Reminders – like an Easter Egg full of delicious surprises! No, this is no April Fool’s joke!
- Breaking News : the major news is that we are down to the last few rooms in the conference hotel. As contest season picks up, so are the bookings; we’re advising people to book their accommodation ASAP before the opportunity to stay in the conference venue is lost to them completely. We’re also delighted to announce that the weekend’s programme has been finalised, including the details of all the speakers and workshops; it’s being uploaded to our website with the speaker bios and workshop info. We’re adding a unique leadership event too – more details on that to follow. Also, we’re starting to put together options for low-cost transport to the hotel when people arrive – we’re asking delegates to let us know their arrival details so that we can make it as accessible as possible.
- Usual Suspects : there’s audio from two more of our conference team, Pat and Lisa, as they answer the five questions about conference. Our District Programme Quality Director has also given us her answers to those questions in a little article. Our featured Cork attraction this month is the wonderful English Market – for any Toastmaster arriving on Thursday or before, we recommend scheduling your Friday morning to explore this gem in the heart of the city, a short bus-trip from the hotel with the bus stop just across the road. There’s also a bonus link in this newsletter that showcases some of the amazing things Cork offers as a destination.
- Gentle Reminders : these are the usual key pieces of information that delegates need to know about #SafeHaven2018 – booking conference packages and accommodation, the Anglo-Irish meeting on the Thursday, the Friday and Saturday night style suggestions, our twist on the banner parade, the SafeHaven Souvenir Songbook, the theme tune competition and the opportunity to volunteer.
