Duties of a Toastmasters Club Sergeant-at-Arms
The Club Sergeant-at-Arms (SAA) plays a vital role in ensuring that meetings run smoothly, both in-person and online. As the club’s logistical and hospitality officer, the SAA is responsible for the physical environment of the meeting, setting the tone for professionalism and order. This includes preparing the meeting space, arranging necessary materials and equipment, managing the club’s property, and ensuring that everyone feels welcomed and ready to participate. For online meetings, the SAA handles technical setup and support.
A well-prepared Sergeant-at-Arms contributes directly to a high-quality member experience and supports the club in maintaining excellence. The SAA also assists with meeting timing, greets guests and members, and helps maintain decorum throughout the session. Their quiet but consistent leadership behind the scenes is essential to a successful and well-run Toastmasters meeting.

Support the Club Success Plan Discussion:

While the plan may be led by the President and VPE, the input of every officer matters. Attend and contribute to the club executive committee meeting where the Club Success Plan is discussed.

Help identify how room setup, signage, equipment, and hospitality can support your club’s goals—especially around first impressions, member retention, and meeting quality.

Be prepared to help implement parts of the plan that involve meeting logistics or event preparation.

Meeting Setup and Hospitality:

✅ Confirm the physical or virtual meeting location is secured and appropriate for the year ahead. If you’re an online club, ensure that the subscription for your meeting platform (such as Zoom) is up-to-date

✅ Organise or check all meeting supplies: banner, gavel, timing lights, guest name badges, Toastmasters literature.

✅ Test any technology needed for hybrid or online meetings (e.g., Zoom, microphones, projectors, laptops).
Communication and Coordination:

✅ Introduce yourself to the new executive committee and understand how your role fits into the wider club leadership team.
