Duties of a Toastmasters Club Treasurer

The Club Treasurer serves as the club’s chief financial officer, responsible for managing the club’s funds with accuracy, transparency, and integrity. This role ensures the club’s financial health by collecting membership dues, maintaining financial records, paying club expenses, and submitting dues payments to Toastmasters International on time.

The Treasurer prepares the club budget in collaboration with the executive committee and provides regular updates on the financial status of the club. They ensure that financial processes are followed in accordance with Toastmasters International policies and help the club plan for sustainability and growth. As a trusted custodian of club funds, the Treasurer plays a crucial role in enabling the club to deliver a consistent and quality member experience.


✅ High-Priority Actions

Complete the Foundations Club Officer Training:

  • Make sure you complete the Foundations training course by 31 August—this contributes to the club’s eligibility for recognition under the Distinguished Club Program.
  • Encourage your fellow officers to do the same — 100% training completion and submission of your Club Success Plan qualifies your club for District 71’s Leading The Way incentive.

Support the Submission of the Club Success Plan:

  • Attend the club executive committee planning meeting where the Club Success Plan is discussed.

  • Share budget-related insights to ensure the club’s goals (e.g., marketing, guest packs, contest expenses) are financially realistic and achievable.

  • Help the team ensure the plan is submitted in Club Central by 31 August, in time to receive credit for DCP Goal 10.


July/August Checklist for the Club Treasurer

Financial Setup:

  • Confirm you have access to the club’s bank account or online payment systems.

  • Review the club’s current financial status, including balances and any outstanding invoices or dues.

  • Set up a simple financial tracking system (spreadsheet) for the new Toastmasters year.

Budgeting and Planning:

  • Prepare a draft annual budget for discussion with the executive committee—include anticipated income (dues, guest fees, etc.) and expenses (e.g., TI renewals, marketing materials, room hire).

  • Identify potential funding needs (e.g. incentives, Open House events) and whether external sponsorship or additional fundraising might be appropriate.

Communication and Compliance:

  • Share financial procedures with the executive committee—e.g., how reimbursements will be processed, what approval is needed.

  • Coordinate with the Immediate Past Treasurer to finalise year-end accounts and ensure a smooth handover.

  • Stay up to date on Toastmasters International dues deadlines (October and April) and prepare to manage those processes in advance.


Looking Ahead

  • Begin preparing for the October membership renewal period, including reminders to members and payment options.  It’s never too early to start renewals!

  • Plan to attend and document financial updates at each executive committee meeting.

  • Consider how club funds can be used to enhance member experience and support DCP goals.


As Treasurer, your role goes far beyond numbers—you are a key contributor to the club’s overall success. Completing your training and actively engaging in club planning ensures transparency, sustainability, and support for a quality member experience.
