Duties of a Toastmasters Club Vice President Membership

The Vice President Membership (VPM) is the club’s chief ambassador for growing and sustaining membership. They lead efforts to attract new guests, convert them into members, and retain existing members through personalised engagement and follow-up. The VPM manages the membership process from first contact to successful onboarding, creating a welcoming and supportive environment at every stage.

This role is both strategic and relational. The VPM collaborates with other club officers—particularly the Vice President Public Relations and Vice President Education—to ensure that promotional activities lead to visitor attendance, and that new members receive a smooth orientation and pathway into active participation. By understanding each member’s goals and motivations, the VPM supports individual progress and helps the club maintain a strong, healthy membership base.


Actions for a Vice President Membership to Take in July/August

As Vice President Membership (VPM), your role is vital to the health and growth of the club. You are the first point of contact for prospective members and the key figure in converting guests into engaged Toastmasters. July is the ideal time to prepare for a successful year by completing your officer training and contributing to the Club Success Plan.

Two top priorities: completing your Foundations officer training and working with the club leadership team to finalise and submit the Club Success Plan in Club Central.

Support the Club Success Plan Submission

  • Participate in the executive committee planning meeting to help define membership goals.

  • Share insights on recruitment strategies, follow-up processes, and how the club can offer a warm, welcoming experience.

Prepare for Guest Engagement

  • Set up a guest tracking process (such as Prospective Member Management in Club Central) to record guest visits, follow-ups, and conversion rates.

  • Review and refresh guest packs, brochures, and welcome materials.

  • Coordinate with the Sergeant at Arms and VP Public Relations to ensure guests are greeted, introduced, and followed up with.

Plan for Member Retention and Growth

  • Review the club’s current membership numbers and identify recent trends.

  • Develop goals for new member sign-ups and retention, aligned with the DCP.

  • Prepare to work closely with mentors and the VPE to ensure new members are fully integrated and supported.

Systems and Documentation

  • Ensure you have access to Club Central for submitting member applications and updates.

  • Review procedures for processing new member applications, dues collection (in coordination with the Treasurer), and membership records.

  • Familiarise yourself with Toastmasters International’s membership application and onboarding process.


Tools and Resources

  • Club Leadership Handbook – Review the VPM section for duties and expectations.

  • Moments of Truth – Pay special attention to the “First Impressions” and “Membership Orientation” categories.

  • Toastmasters.org – Explore tools for membership building, including the Club Growth resource page.


Looking Ahead

  • Begin developing a membership campaign or Open House plan for later in the year.

  • Establish a process for checking in with members regularly to ensure they feel supported and valued.

  • Coordinate with the VPPR to promote the club and attract guests via social media, events, and word of mouth.
