Duties of a Toastmasters Club Vice President Public Relations

The Vice President Public Relations (VPPR) is the club’s communications and marketing strategist. Their primary responsibility is to generate positive visibility for the club, both within Toastmasters and in the wider community. This includes promoting club meetings and events, managing social media accounts, creating promotional materials, and maintaining the club’s website and newsletter.

The VPPR helps ensure a consistent and professional brand image, aligned with Toastmasters International’s brand guidelines. By building awareness and enthusiasm through various communication channels, the VPPR helps attract guests, convert them into members, and engage existing members with regular, relevant content. The VPPR also works closely with the Vice President Membership and the President to support the club’s growth and recognition.


Actions for a Vice President Public Relations to Take in July/August

As Vice President Public Relations, you are the voice of the club to the outside world. Your role is to help establish the club’s presence, visibility, and reputation—both online and in your local community. This is the time to create a clear promotional plan for the year, complete your officer training, and contribute to the development of the Club Success Plan.

Two top priorities: completing the Foundations club officer training and supporting the submission of the Club Success Plan in Club Central.


High-Priority Actions

Complete the Foundations Club Officer Training

  • Attend and complete the Foundations training course by 31 August.

  •  Encourage your fellow officers to do the same — 100% training completion and submission of your Club Success Plan qualifies your club for District 71’s Leading The Way incentive.
  • The training will provide you with tools and guidance to promote your club in alignment with Toastmasters branding.

Support Submission of the Club Success Plan

  • Attend the executive committee planning meeting and contribute ideas for attracting new members and increasing community visibility.

  • Suggest communication strategies and promotional channels to support membership and education goals.

  • Help ensure the completed Club Success Plan is submitted in Club Central.


July Checklist for the Vice President Public Relations

Establish Communication Channels

  • Audit existing communication platforms (e.g., club website, social media accounts, Meetup, Eventbrite).

  • Confirm login access, branding compliance, and relevance of current content.

  • Update club contact details and meeting information across all platforms.

Plan a Public Relations Calendar

  • Develop a simple communications calendar for the year, including planned promotions, awareness campaigns, and open house events.

  • Schedule regular posts for social media and newsletters, using member spotlights, meeting themes, or educational content.

  • Coordinate with the VPM to support recruitment efforts and promote club meetings to potential guests.

Branding and Visibility

  • Familiarise yourself with the Toastmasters Brand Manual and ensure all materials meet brand guidelines.

  • Update any physical signage, banners, and promotional materials used at in-person events.

  • Ensure guest packs, posters, and club flyers are up-to-date and brand-compliant.


Tools and Resources

  • Club Leadership Handbook – Review the VPPR section for guidance on your responsibilities.

  • Toastmasters Brand Manual – Ensure all communications follow current brand standards.

  • Toastmasters.org Resource Library – Includes downloadable templates for social media, posters, and event materials.


Looking Ahead

  • Begin drafting content for your first club newsletter or email update.

  • Coordinate with the VPM and VPE to promote upcoming educational events and member achievements.

  • Explore local event listings, community groups, or social media channels where your club can be promoted.


The VPPR role is about amplifying the value of Toastmasters and making your club visible, attractive, and approachable. By completing your officer training and contributing meaningfully to the Club Success Plan, you help set the stage for a successful year of growth and recognition.
