The District 71 Zoom Academy exists to train Toastmasters across the District in the effective use of Zoom for online & hybrid meetings and to develop, support and coordinate a team of Zoom Masters to facilitate high-quality, professionally run District eventsDescription
The core responsibilities of the Zoom Academy are:
Training & Development
- Design and deliver regular Zoom training workshops tailored for club officers and members, District event organisers and speech contest teams
- Maintain an up-to-date library of Zoom resources (e.g. how-to guides, screen-sharing protocols, role checklists)
- Support experiential learning by offering practice opportunities in a safe environment
Zoom Master Team Coordination
- Recruit and onboard Zoom Masters from across the District
- Assign Zoom Masters to specific District events based on availability and competence
- Offer coaching and debriefs to help Zoom Masters continuously improve
Event Support
- Provide technical support for District-level events, ensuring smooth operation of Zoom features such as breakout rooms, spotlighting, polling, and recording
- Liaise with the event leaders (such as the District Director or contest chair) to understand technical needs and coordinate appropriate support
- Create and manage checklists and contingency plans for virtual events
Excellence and Continuous Improvement
- Establish and document best practices for virtual and hybrid events (e.g. screen naming conventions, technical rehearsals)
- Evaluate the effectiveness of each team-supported event and use feedback to improve service delivery
Team structure:
- Zoom Academy Lead: oversees strategic direction and delivery
- Training coordinator: Designs and delivers learning sessions
- Zoom Master coordinator: Manages the Zoom Master roster and event assignments; oversees communication and logistics
- Zoom Masters: Provide Zoom hosting and technical support for District events
