Duties of a Toastmasters Club Vice President Membership
The Vice President Membership (VPM) is responsible for attracting, onboarding and retaining members. They manage the membership journey from first enquiry to long-term engagement, ensuring new members feel welcome and existing members feel valued. The VPM works closely with the VPE, VPPR and President to support growth, maintain club vitality and contribute to the Distinguished Club Program membership goals.
Actions for a Vice President Membership to Take in December and January
December and January are decisive months for membership stability. Existing members often reassess their commitments at this time of year and guests may be looking for new opportunities in the new year. As VPM, your leadership ensures that curiosity becomes commitment and that members feel supported before membership renewal cycles resume in the spring.
Your focus now is to engage current members deeply, nurture guests, strengthen onboarding systems and prepare the club for the busy contest and Area Director visit period.
High Priority Actions
1. Invite Your Area Director to Visit the Club in December or January
The Area Director visit period opens in December.
A visit early in the calendar year helps identify strengths, opportunities and any support that may be needed in relation to membership experience and retention.
Share your club’s membership pipeline, current retention picture and any concerns you would like guidance on.
2. Strengthen Member Retention and Engagement
Review attendance, progress and participation patterns.
Identify members who have been quiet, absent or stalled in Pathways.
Coordinate with the VPE and mentors to reconnect these members and encourage re-engagement before renewal season.
Create small, visible moments of appreciation to reinforce belonging.
3. Review Membership Targets in the Distinguished Club Program
Check your club’s membership base and current headcount in the Toastmasters dashboard.
Identify how many new members are needed to maintain or grow your membership base by year end.
Ensure the membership goals in your Club Success Plan are updated to reflect your progress so far.
Ongoing Responsibilities for December and January
Support Guest Conversion
January is a high-interest month for personal development.
Respond promptly to enquiries and follow up with guests who attended meetings late in the year.
Prepare clear joining instructions and ensure the onboarding experience is smooth and friendly.
Strengthen New Member Onboarding
Review the onboarding process from the perspective of the past six months.
Ensure every new member is welcomed formally, matched to a mentor and guided in choosing their Pathway.
Schedule check-ins with members who joined in the first half of the programme year to ensure they feel supported.
Coordinate with VPPR
Collaborate with VPPR to promote meetings.
Highlight special events such as contests or themed meetings.
Use storytelling to reinforce the benefits of membership in a new year.
Prepare for Contest Season
Encourage members to consider competing or taking contest support roles.
Work with the VPE to ensure members understand how contest roles can support leadership and communication development.
